Convert bank statement PDF to QuickBooks Online CSV
Drop the PDF below and download a CSV in the 3-column layout QuickBooks Online asks for when you upload bank transactions: Date, Description, Amount, with a negative amount for money out. Dates are written as MM/DD/YYYY. Statements longer than 1,000 rows are split by date into several files.
What QuickBooks Online CSV is and where it imports
QuickBooks Online can read QBO files, but many accountants upload CSV instead because the mapping step shows each column before anything is posted. The upload screen accepts either three columns with a signed amount, or four columns with money in and money out kept apart.
We write the three-column layout because it avoids the most common mapping mistake, where credit and debit columns are swapped. One signed column cannot be mapped the wrong way round; QuickBooks only needs to know that negative means money out.
There are no header tricks or extra columns: the first line is the header, and each line after it is one transaction. Text that starts with a formula character is escaped so the file is safe to open in a spreadsheet before upload.

How to import the file
QuickBooks Online
- Go to Transactions > Bank transactions (Banking in some accounts), then choose Upload transactions, or Link account > Upload from file in some versions.
- Drag in the CSV, then pick the QuickBooks account to upload to.
- On the mapping step, choose the single amount column option and set the date format to MM/dd/yyyy.
- Tick the rows to import, click Next, then review them in the For review tab.
Common import errors
- QuickBooks Online says the date format is not recognised.
- Set the date format in the mapping step to MM/dd/yyyy, the format this file uses, even if your company is outside the US.
- Money in shows as money out.
- The mapping step was set to two amount columns. Choose the single-column option, where negative numbers are money out.
- The upload is rejected for size.
- QuickBooks Online caps a single upload. Our export already splits at 1,000 rows by date; upload the parts one at a time.

FAQ: QuickBooks Online CSV
Should I upload CSV or QBO to QuickBooks Online?
Both work. QBO needs no mapping and carries transaction IDs for duplicate detection; CSV lets you check every column during upload. Pick CSV if you want to review first.
Why one Amount column instead of Credit and Debit?
QuickBooks Online accepts both, but with one signed column there is nothing to map the wrong way round. Negative values are money out, positive values money in.
Does this work with QuickBooks Desktop?
QuickBooks Desktop does not import this CSV for bank transactions. This CSV is laid out for QuickBooks Online.
Is it fine to ask ChatGPT for a QuickBooks Online CSV?
For a page of transactions it may be, if you add up the result and fix the date order. This converter checks each row against the printed running balance, keeps the statement on your computer, and writes the exact column layout QuickBooks Online maps.
Which date format should a UK or Australian company use?
Keep the file as it is and select MM/dd/yyyy in the QuickBooks Online mapping step. The setting describes the file, not your company, so the dates land correctly.
