Convert bank statement PDF to Excel
Drop the PDF below and download an .xlsx workbook. Dates are stored as Excel dates and amounts as numbers, so SUM, filters and pivot tables work straight away. A Summary sheet lists opening balance, total credits, total debits and closing balance per currency, with the reconciliation status, so you can see at a glance whether every row was captured.
What Excel (XLSX) is and where it imports
XLSX is the Office Open XML workbook format used by Microsoft Excel since 2007. It also opens in Google Sheets, LibreOffice Calc and Apple Numbers, which makes it the safest choice when you are sending the data to someone else and do not know what they use.
Our workbook has two kinds of sheet. Summary holds one row per currency: opening balance, sum of credits, sum of debits, computed closing, the closing balance printed on the statement, and the status. Transactions holds the rows themselves with Date, Description, Amount and Balance columns. Multi-currency statements (Wise, Revolut) get one Transactions sheet per currency instead of a mixed list.
Amounts are one signed Amount column: negative for money out, positive for money in. That keeps SUM and charts simple. If you are pasting into a template that wants separate Debit and Credit columns, the CSV export on this site can split them.

How to import the file
Microsoft Excel
- Download the .xlsx file and open it with a double-click; no import wizard is needed.
- Check the Summary sheet first. If the status is not balanced, look for rows highlighted in the converter before you rely on totals.
- On the Transactions sheet, use Data > Filter, or Insert > PivotTable to group spending by description.
Google Sheets
- Open Google Drive and choose New > File upload, then pick the .xlsx file.
- Open it and choose File > Save as Google Sheets if you want to edit it in place.
- Dates and numbers keep their types, so formulas such as =SUMIF work without cleanup.
Common import errors
- Dates show up as five-digit numbers such as 44896.
- That is Excel storing the date as a serial number; the cell just lost its date format. Select the column and choose Format Cells > Date.
- Totals in your own spreadsheet differ from the statement.
- Compare against the Summary sheet. If the Summary says balanced, the difference comes from a filter or a formula range in your copy, not from the extraction.
- Long descriptions are cut off in the cell.
- The text is all there. Widen the column or turn on Wrap Text; multi-line descriptions from the PDF are joined into one cell.

CSV vs QBO vs OFX vs Xero CSV
| Format | Best for | Duplicate detection | Carries closing balance | Column mapping on import | Date format |
|---|---|---|---|---|---|
| CSV | Spreadsheets, scripts, tools with a custom CSV import | No | Per-row running balance column | Yes, every time | Your choice: ISO, MM/DD/YYYY or DD/MM/YYYY |
| QBO (Web Connect) | QuickBooks Online | Yes, FITID per transaction | Yes, ledger balance | No | Fixed YYYYMMDD, never ambiguous |
| OFX 2.2 | Xero, GnuCash, Moneydance and other finance apps | Yes, FITID per transaction | Yes, ledger balance per currency | No | Fixed YYYYMMDD, never ambiguous |
| Xero CSV | Xero bank statement import with a line-by-line review | No transaction IDs; Xero may flag possible duplicates | No | Template columns, recognised by Xero | DD/MM/YYYY |
FAQ: Excel (XLSX)
Are the numbers in the Excel file text or real numbers?
Real numbers. Amounts and balances are numeric cells and dates are date cells, so you can sum, sort and filter without converting text first.
Can I get debits and credits in separate columns?
The workbook uses one signed Amount column. If you need two columns, download the CSV with the split amount setting, or add =MAX(-C2,0) and =MAX(C2,0) columns in Excel.
What happens with a statement in two currencies?
Each currency gets its own Transactions sheet and its own line on the Summary sheet, and each one is reconciled separately against its own opening and closing balance.
Can I just use ChatGPT to turn the PDF into a spreadsheet?
For a page or two it often works, but check the totals yourself, because a chat answer does not tell you when a row was skipped or a sign flipped. Here every row is checked against the running balance, the PDF stays on your device, and you get a typed .xlsx file rather than a table to copy out of a chat.
Does the Excel file include the balance check?
Yes. The Summary sheet shows the computed closing balance next to the one printed on the statement and the resulting status, so whoever receives the file can see the check too.
